Refunds & Cancellation Policy

How cancellation, renewals, downgrades and refunds work for each ComplianceAnvil purchase type.

This policy explains exactly what happens to your access and your money when you cancel, change, or dispute a ComplianceAnvil purchase. It describes the platform's actual billing behavior. It forms part of our Terms of Service.

This document is materially complete and ready for owner and professional review. It has not been reviewed or approved by an attorney.

Recorded owner policy decisions

These business rules have been decided by the platform owner and are reflected in the text below.

  • Refund window: 14 calendar days for a customer's initial eligible purchase (first Starter purchase, or the first payment on a Professional or Business subscription).
  • Renewal payments are generally non-refundable unless required by law or caused by a verified billing error.
  • Guided Setup is refundable before scheduled work begins; fees for completed work are non-refundable once a session or substantial custom work has begun.
  • Cancellation or refund never triggers automatic deletion of documents, evidence, training history, certificates, or billing records.

1. What you can purchase

There is also a free tier that requires no payment and can be used indefinitely.

All prices are in United States dollars and exclude applicable taxes, which are calculated at checkout where required.

2. The 14-day initial-purchase refund window

Your initial eligible purchase may be refund-requested within 14 calendar days.

That means:

  • the first Starter purchase on an organization; and
  • the first payment on a Professional or Business subscription (monthly or annual).

Within those 14 calendar days, email support@complianceanvil.com from the account email address and we will review and process an eligible refund to the original payment method.

Outside that window, and for later payments:

  • Renewal payments are generally non-refundable. The exceptions are where applicable law requires a refund, or where a verified billing error occurred (for example a duplicate charge or a charge after a recorded cancellation).
  • Cancelling always stops the next renewal charge. See "When cancellation takes effect" below.
  • We do not require a reason, and we do not condition a refund on how little you used the platform. We may decline a request where the account shows abuse, fraud, or repeated purchase-and-refund cycles.

Nothing in this policy limits rights provided by applicable law.

3. One-time purchases — Starter and Guided Setup

Starter ($49) and Guided Setup ($499) are single charges.

  • You are charged once at checkout.
  • There is no recurring charge and no automatic renewal. You will not be billed again for the same purchase.
  • Access is granted immediately when the payment is confirmed by our payment processor, for the access period stated at the point of sale.
  • Because there is no subscription, there is nothing to cancel. If you take no action, no further money is taken.
  • When the stated access period ends, the organization returns to the free tier. Your data remains available.

Starter refunds: an initial Starter purchase is covered by the 14-day window above.

Guided Setup refunds: Guided Setup is fully refundable before scheduled work begins. Once a Guided Setup session has started, or substantial custom work has been performed, the fees associated with the completed work are non-refundable; any clearly unperformed portion is still refundable. We will tell you plainly which category your request falls into.

4. Recurring subscriptions — Professional and Business

Professional and Business are subscriptions billed in advance for each period.

  • A monthly plan is charged on the same day each month; an annual plan on the same day each year.
  • Your card is charged automatically at the start of each period until you cancel.
  • The price charged at renewal is the then-current price for your plan. We notify you in advance of any increase that would apply to your renewal, and you may cancel before it takes effect.
  • Annual billing is offered at a discount equivalent to two free months compared with paying monthly.

5. How to cancel

You can cancel a subscription yourself at any time. No phone call, no email required, no retention gauntlet.

  1. Sign in and open your billing area from the dashboard.
  2. Choose to cancel your subscription.
  3. Confirm. The application records the cancellation immediately and shows the date your access runs through.

You may also email support@complianceanvil.com from the account email address and we will process it for you.

You do not need to give a reason, though we appreciate hearing one.

6. When cancellation takes effect

Cancellation stops the next charge. It is not retroactive.

  • Your paid access continues for the remainder of the billing period you have already paid for. If you cancel a monthly plan on day 3 of a 30-day period, you keep paid access through the end of that period.
  • At the end of that period, the subscription does not renew, the organization reverts to the free tier, and paid features become unavailable.
  • We do not cut your access off early as a penalty for cancelling.
  • Your workspace data — assessments, documents, controls, evidence, training records — is retained as described in our Privacy Policy so you can export it or resume later. Cancelling is not deleting.
  • Content that exceeds free-tier limits may become read-only until you upgrade again or reduce it.

If you cancel and then change your mind before the period ends, you can resume the subscription and keep continuous access.

7. Renewal behavior

Subscriptions renew automatically. This is the default and it is disclosed at checkout.

  • Renewal happens at the end of each period unless you cancelled before that date.
  • A successful renewal extends your paid access to the end of the new period.
  • Receipts for each renewal are emailed to the billing address on the account and are available in your billing area.
  • One-time purchases (Starter, Guided Setup) never renew.

If you want to avoid a renewal, cancel before the renewal date. Cancelling on the renewal date itself may not stop a charge already in progress; if that happens, contact us.

8. Upgrade and downgrade behavior

Upgrades take effect immediately.

  • Higher-plan entitlements — larger document library, additional program packs, more seats, branding customization — become available right away.
  • Our payment processor prorates the change: you are charged the difference for the unused remainder of the current period, not a full new period.
  • Your renewal date normally stays the same.

Downgrades take effect at the end of the current billing period.

  • You keep the higher plan's entitlements until the period you paid for expires.
  • The lower plan and its price apply from the next period onward.
  • A downgrade is not a refund. Because you already paid for and continue to receive the higher plan through the end of the period, no money is returned for the remaining days.
  • After the downgrade applies, features above the new plan become unavailable, seat limits tighten, and content beyond the new limits may become read-only. Reduce usage or export before the change takes effect.

Switching between monthly and annual billing follows the same rules: to annual is an upgrade in commitment and applies immediately with proration; to monthly applies at period end.

9. How to request a refund

To request a refund, email support@complianceanvil.com from the email address on the account and include:

  • your organization name;
  • the account email;
  • the approximate date and amount of the charge; and
  • the reason for the request.

Do not send card numbers or any payment details. We do not have them and do not need them.

What happens next:

  1. We acknowledge your request.
  2. We review the charge, the plan, and the usage on the account.
  3. We tell you the outcome and, if a refund is approved, submit it through our payment processor.
  4. Approved refunds are returned to the original payment method. Once submitted, banks typically post the funds within 5–10 business days. We cannot control that timing.

We will always process a refund we are legally required to process, and nothing in this policy limits rights under mandatory consumer-protection law that cannot be waived.

Beyond that, eligibility follows the 14-day initial-purchase window and the renewal, Guided Setup, and billing-error rules stated above. We will not deny a request without reviewing it, and we will always process a refund we are legally required to process.

10. What happens to your data after a cancellation or refund

Cancelling or receiving a refund does not erase your work.

We do not automatically delete:

  • generated or edited documents and policies;
  • uploaded evidence;
  • training history and completion records;
  • issued certificates and their verification records; or
  • billing and receipt records.

Paid features become unavailable and content above free-tier limits may become read-only, but the underlying records are retained as described in our Privacy Policy so you can export them or resume later. If you want your data deleted, ask us and we will handle it as a deletion request under the Privacy Policy — subject to records we must keep for legal, tax, and audit purposes.

11. Duplicate or unexpected charges

If you see a charge you do not recognize or believe you were charged twice, contact support@complianceanvil.com right away.

  • A genuine duplicate charge — the same amount for the same plan on the same day, with no corresponding second purchase — is refunded in full. That is not a discretionary decision; it is a billing error and we fix it.
  • Our checkout is protected against duplicate fulfillment: repeated processing of the same purchase event cannot grant access twice or record a second purchase. This makes duplicates easy for us to identify.
  • A pending authorization from an abandoned or failed checkout is not a charge and typically disappears from your statement within a few business days without action.
  • If you believe someone used your payment method without authorization, contact your bank as well as us.

Please contact us before filing a chargeback. A chargeback locks the funds with your bank and takes far longer to resolve than an email to us. We may suspend access on an account with an unresolved chargeback until it is settled.

12. Failed payments

If a renewal charge fails — an expired card, insufficient funds, or a bank decline:

  1. Our payment processor retries the charge over a short period.
  2. We show a billing notice in the application and email the billing address so you can update your payment method.
  3. Your paid access continues during this grace period rather than being cut off at the first failure.
  4. If the balance is not resolved, the subscription lapses and the organization reverts to the free tier. Paid features become unavailable; your data is retained.
  5. Updating your payment method and settling the balance restores access.

You are responsible for keeping your payment method current. We do not charge a late fee.

13. Payment processing by Stripe

All ComplianceAnvil payments are processed by Stripe, Inc. Your purchase is also subject to Stripe's terms and privacy policy.

  • We never receive or store your full card number, expiration, security code, or bank credentials. You enter those directly with Stripe.
  • We store only what is needed to run your account: a customer and purchase identifier, the plan and amount, period dates, payment status, and the billing email.
  • Refunds are issued through Stripe to the original payment method. We cannot refund to a different card or by another means.
  • Where required, tax is calculated and collected at checkout.
  • Your bank statement descriptor reflects the payment configuration in place at the time of the charge. If a descriptor is unclear to you, contact us and we will identify the charge.

Our test and live payment environments are strictly separated: activity in a test environment cannot create, modify, or refund a real charge, and cannot grant paid access on a live account.

14. Changes to this policy

We may update this policy. The "Last updated" date above reflects the current version.

Changes apply to purchases and renewals occurring on or after the effective date. We will not apply a less favorable refund rule retroactively to a purchase you already made.

For material changes, we will give reasonable advance notice by email or in the application.
